Case Study
Consolidating Microsoft 365 for a multi-site human services nonprofit
Client identity withheld for confidentiality.
A fragmented Microsoft 365 environment was consolidated into a single tenant with central administration and a written roadmap for the next phases of modernization.
Before and after
Situation
A fragmented environment with limited central visibility
A multi-site human services nonprofit relied on a reseller-managed Microsoft 365 environment that had grown over time.
- Email and licensing spread across a reseller-managed environment.
- Limited central visibility and administration.
- Inconsistent licensing or security settings.
- Daily operations had to continue during migration.
- Broader device, identity, and documentation work was needed after tenant consolidation.
Work
Plan, migrate, and centralize administration
Migration planning came first, then consolidation, then a written roadmap for the phases beyond this project.
- Migration planning and dependency review. A written plan covering mailboxes, sharing, identity, and vendor dependencies before any cutover began.
- Microsoft 365 tenant consolidation. Staff accounts, email, and core collaboration consolidated into a single, Microsoft-hosted tenant.
- Central administration. One administrative surface replaced fragmented, reseller-managed access.
- Standardized licensing direction. A consistent approach to license assignment aligned to role and usage.
- Written roadmap. Device management, backup, security, and collaboration improvements captured as separate follow-on work.
Result
One managed tenant with a defined roadmap
The organization now runs on one centrally managed Microsoft 365 tenant with clearer license administration and a documented plan for the next phases.
- One centrally managed Microsoft 365 tenant.
- Clearer license administration.
- Better visibility into users, settings, and future work.
- A defined roadmap for device management, backup, security, and collaboration improvements.
Lesson
Consolidation is the beginning of a modernization program
Tenant consolidation opens the door to consistent controls, records, and reporting. It is one part of a longer plan, not the whole plan.
- Tenant consolidation was one part of a larger modernization roadmap.
- Device management, backup, workflows, and reporting are separate projects.
- Publication of this case study does not imply all roadmap phases are complete.
What this project reflects
Bitralynx Solutions leads modernization work as a coordinated program rather than a single migration. Central administration and standardized licensing create the environment where consistent controls and records become possible.
